Privacy Policy

MoveNSeek is a digital event engagement platform that elevates your event experience with information and games. This page explains what we collect, what the organizer of your event can see, and how to have your data removed. The short version: your contact details are used only to sign you in and reach you in an emergency, and are not handed to the organizer unless that event's sign-in notice says so.

What we collect

What we ask for depends on how the organizer set up the event:

  • Email sign-in events. Your name, email address, and optionally a phone number. The email address is used to send you a 6-digit sign-in code.
  • Passcode events. Your name and the event passcode. No email or phone number is collected.
  • Name-only events. Your name. Nothing else. This mode is intended for private gatherings and children's parties.

In all modes, we also record how you play:

  • QR codes you scan, and which game squares or checkpoints they completed.
  • Game completions, points, and your position on the event leaderboard.
  • Prizes awarded to you and whether they have been collected.
  • If you use the emergency button, the alert and any message you send with it.

We do not use advertising trackers, analytics cookies, or third-party marketing pixels, and we do not build profiles of you across events or websites.

What the event organizer can see

Organizers get an admin view of their own event only. By default it shows the information they need in order to run the event:

  • Your name, your game progress, and your leaderboard position.
  • Whether you have completed a game and which prize you are owed.
  • Your email address and phone number shown partially masked, so staff can confirm identity at a prize table without the full details being on display.

By default, organizers are not given your full email address or phone number. Some events do collect contact details — typically so the organizer can invite you to future events. When that is the case, the event says so in the consent notice on its sign-in screen, before you enter anything. If the sign-in screen did not tell you the organizer would contact you, your contact details are being used only to sign you in and reach you in an emergency.

Two deliberate exceptions, because the alternative would be worse:

  • Emergency alerts. If you raise an alert with the in-app emergency button, event staff see your phone number in full so they can call you back. Safety takes priority over masking here.
  • Sign-up forms you choose to fill in. If an event offers a form such as "be part of next year's festival" and you complete it, the details you enter go to the organizer — that is the purpose of the form. Filling it in is entirely optional.

Who else processes your data

MoveNSeek runs on a small number of cloud service providers who host the app, store its data, and deliver sign-in emails. We give each provider only what it needs to perform that function. We do not sell your personal information, and we do not share it for advertising.

Cookies

MoveNSeek sets cookies for one purpose: keeping you signed in to your event. These are strictly necessary — without them you would have to sign in again on every screen. We do not set analytics, advertising, or tracking cookies.

Children

MoveNSeek is often used at children's parties and family events. For those events we recommend organizers use passcode or name-only sign-in, which collects no email address, no phone number, and nothing that could be used to contact a child afterwards.

We do not knowingly collect contact details from children under 13. If you believe a child's contact information has been entered, email us and we will delete it.

How long we keep it

Event and game data is kept while the event is running and for a period afterwards so organizers can confirm prizes and produce their event summary. We delete or anonymise data we no longer have a reason to hold.

Your choices

  • You can ask for a copy of the data we hold about you.
  • You can ask us to correct anything that is wrong.
  • You can ask us to delete your account and game history.
  • Providing a phone number is optional at every event that asks for one.

Email admin@potterscode.com from the address you signed up with and we will action it. If an organizer has already received your contact details under an event that collects them, ask them directly as well — they hold their own copy.

Security

Data is encrypted in transit and at rest. Access to each event's data is restricted at the database level so one event's organizer cannot read another's, and attendees cannot read each other's records. No system is perfectly secure, but we keep the amount of personal data we hold small on purpose, which is the most effective protection available.

Changes

If we change how we handle personal data we will update this page and change the date at the top. Material changes affecting contact data will also be reflected in the sign-in notice you see at your next event.
